Terms and conditions for Events and Competitions 

Please read these terms and conditions carefully before booking onto an event or competition. 

National Hairdressers’ Federation Limited (NHF or we/us/our) is a Co-operative and Community Benefit Society registered with the Financial Conduct Authority with company number 30905R and registered address at One Abbey Court, Fraser Road, Priory Business Park, Bedford MK44 3WH.

By booking onto an NHF event you have entered into an agreement with us, as set out in these terms and conditions. Please do not hesitate to contact us if you are unsure about the meaning of any of these terms.

NHF reserves the right to change these terms and conditions at any time without prior notice by amending these online on our website at www.nhf.info/home/ (‘our website’).

Terms and conditions for Events

Our agreement

1. Bookings must be made for all NHF events. Details and prices of our events can be found at www.nhf.info/events.

2. Payment must be made at the time of booking, either online on our website or by telephone. Payments cannot be accepted on the door (subject to clause 5 below). Some NHF events are free of charge, but bookings must still be made so that we can ensure we use an appropriate venue and provide enough refreshments.

3. Due to health and safety regulations, hotels and other meeting venues impose restrictions on the number of people who can attend their events. We cannot exceed the capacity of the room specified in the contract between NHF and the event venue.

4. Events will therefore be filled on a first come first served basis, unless otherwise specified. If an event is full, a waiting list will be kept and any places becoming available will be offered to the individuals on the waiting list in the order we were notified of their interest.

5. People who arrive at an event without having made a booking may be refused entry. If there is sufficient space the organiser may, at their discretion, allow entry provided full payment is made.

6. Tickets and receipts for payment will be sent to the postal address you gave when making the booking, approximately 7 days in advance of the event. If your booking was made only a few days before the event, information will be sent by email to the address you provided on the booking form and your name will be added to the delegate list.

7. Your booking will only be confirmed by us at the point we send you the relevant tickets and receipts, or email you with confirmation that you have been allocated a place (as stated above).

8. If you are sending someone else to attend an event in your place, please let us know. Please be aware that there may be a higher price for non-NHF members.

Cancellation by you or 'no show'

9. If you are not able to attend an event, please let us know as soon as possible, especially for free events as someone else on the waiting list may be able to take your place.

10. If you cancel your place at an event we will not refund your attendance fee, however you may arrange for somebody else to attend in your place.

11. If you fail to tell us that you are unable to attend a free event, we reserve the right to charge you £10 to cover the cost of refreshments and a contribution towards our administration costs.

Cancellation or changes by us

12. If we are required to postpone an event for any reason beyond our control (for example, due to bad weather or speaker illness) we will notify you in advance wherever possible and provide you with at least 4 weeks’ notice of the date and location of the rescheduled event. A full refund will be given if you are unable to attend on the new date.

13. If we are required to cancel an event completely (for example, due to insufficient bookings) we will notify you in advance wherever possible and provide you with a full refund of the attendance fee. We will not be liable for any other loss or inconvenience which you may suffer or incur as a result of an event being cancelled.

14. We may occasionally have to change the content and timing of an event, the date, venue or speaker. On the rare occasions this happens, we will notify you by email and provide as much notice as possible.

15. We will not be liable for any additional costs or expenses arising in relation to the postponement or cancellation of an event, or other changes.

Early bird discount terms and conditions

16. The ‘early bird’ discount applies to selected events and dates only. Each event date will have a specified discount, and a ‘from’ and ‘to’ date.

17. The ‘early bird’ discount is available to NHF members only.

18. Unless specified otherwise, the ‘early bird’ discount is not valid in conjunction with any other offer. 

Personal information (for Events)

19. We will use the personal information you provide to us to process your booking and payment, and assist you with attending the event.

20. If you are not an NHF member, we will ask if you would like to sign up for our monthly e-newsletter and ask you to consent to us informing you about similar products or services that we provide (for example, other NHF events or competitions). You may choose to stop receiving such communications from us at any time by contacting enquiries@nhf.info.

Dietary/accessibility requirements (for Events)

22. For daytime events we usually provide a sandwich lunch plus tea, coffee and soft drinks. For evening events we usually provide tea, coffee and soft drinks only. If you have any dietary requirements please let us know in advance.

23. If you have any access requirements (for example, due to an injury or disability), please let us know when making the booking so we can make sure the room will be suitable for you. We will not be liable for any delay or non-performance under these terms if you have not provided us with this information.

 

Terms and conditions for Competitions

Floor competitions terms & conditions 

NHF floor competitions

24. Details of all our competitions can be found here, including how to enter, entry fees for competitors or spectator tickets where these apply. 

25. These terms and conditions apply to: 

  • Britain's Best
  • Blackpool Championships
  • Wales Finest
  • Or similar floor competitions 

Our agreement

26. Competitors must be over 16. If competitors are under the age of 18 they must complete a consent form.

27. Due to health and safety regulations and restrictions on power consumption, venues impose restrictions on the number of competitors and spectators who can enter and attend competitions. Competition places will therefore be filled on a first come, first served basis unless otherwise specified.

28. Payment must be made at the time of entry, either online on our website or by telephone. Although payments can usually be accepted at the competition, we strongly advise you to enter well in advance as there may be no spaces left for late entrants or we may cancel a competition due to insufficient entries.

29. There will be no entry without a ticket or payment at the door.

30. Tickets and receipts for payment will be sent to the postal address you gave when making the entry, approximately 7 days in advance of the competition. If your entry was made only a few days before the competition, your tickets will be available for collection at the door of the competition venue.

31. When you arrive at the competition venue you must register for the competition categories you have entered.

32. You must also have your electrical equipment PAT tested as this is a requirement of competition venues to ensure the safety of yourself and other people at the venue.

33. Your entry will only be confirmed by us at the point we send you the relevant tickets and receipts, or we email you with confirmation of your competition entry, or we accept your entry and payment on the day.

Models

34. You will need to provide a model for each competition category you enter.

35. You will be provided with one free ticket for the model you will be working on for each category you have entered.

36. You are responsible for ensuring that an allergy alert test for hair colour has been carried out at least 48 hours in advance of the competition on any of your models who you will be working on for a competition which involves the application of hair colour.

37. Models must be over the age of 16. You must provide a consent form for any models under the age of 18. The form must be completed by the model’s parent, carer or legal guardian to give their consent for the model to be photographed, their name and image to be displayed on the NHF website, in NHF publications, for example salonfocus magazine, on social media sites, in other promotional materials and in press releases.

38. Press releases are distributed to industry magazines and local newspapers who may also publish the model's image and name in magazine articles, on social media sites and on websites which are not controlled by the NHF.

39. Without a completed consent form, a model who is under the age of 18 cannot be used by the entrant for NHF competitions.

Cancellation by you or 'no show' for floor Competitions

40. If you cancel your competition entry, you do not turn up on the day or you arrive late and therefore miss your competition category, we will not refund your ticket fees or entry fee. However, you may arrange for someone else to take your competition place, at no extra charge.

Cancellation or changes by us

41. We may occasionally have to cancel a competition due to insufficient entries, or change or merge competition categories on the day. We will inform you as soon as possible if this is the case. We will provide you with a full refund of any competition entry fees or spectator tickets if a competition is cancelled or if you do not wish to take part in a changed competition.

42. We will not be liable for any additional costs or expenses arising in relation to the cancellation of a competition or other changes.

 

Personal information

43. We will use the personal information you provide to us for purposes such as processing your competition entry, providing entry tickets, spectator tickets or tickets for models, processing payments, to assist you with taking part in the competition, to record the scores awarded by competition judges and to inform you if you are a finalist or to invite you to an awards evening.

44. If you are a finalist for an NHF competition, we may include your name, your salon or barbershop's name, and an image of your work and your model to be displayed on the NHF website, in NHF publications, for example salonfocus magazine, on social media sites, in other promotional materials and in press releases.

45. Press releases are distributed to industry magazines and local newspapers who may also publish your name, the salon or barbershop's name, an image of your work and the model in magazine articles, on social media sites and on websites which are not controlled by the NHF. 

46. If you are not an NHF member, we will ask if you would like to sign up for our monthly e-newsletter and ask you to consent to us informing you about similar products or services that we provide (for example, other NHF events or competitions). You may choose to stop receiving such communications from us at any time by contacting enquiries@nhf.info.

If you, or a spectator or model in your party have any access requirements (for example, due to an injury or disability) please let us know when you enter a competition so we can make sure the room will be suitable for you. Competition rules

50. The interpretation of the rules of each competition lies with the organisers whose decision is final. Any breach of the competition rules may be penalised by the competition officers.

52. By entering the competition you agree to be bound by the competition rules.

53. The judges’ decision is final.

54. Copyright of all images generated by the competitions (including but not limited to those taken by NHF or taken and submitted by entrants) will be owned by National Hairdressers Federation Ltd.

 

Photographic Stylist of the Year 

Photographic Stylist of the Year competition

55. By entering the NHF Photographic Stylist of the Year competition you have entered into an agreement with us, as set out in these terms and conditions. Please do not hesitate to contact us if you are unsure about the meaning of any of these terms.

Models

65. Models must be over the age of 16. You must provide a consent form for any models under the age of 18. The form must be completed by the model’s parent, guardian or carer to give their consent for the model to be photographed, their name and image to be displayed on the NHF website, in NHF publications, for example salonfocus magazine, on social media sites, in other promotional materials and in press releases.

66. You are responsible for ensuring that an allergy alert test for hair colour has been carried out on your model at least 48 hours in advance of the colour being applied.

67. Press releases are distributed to industry magazines and local newspapers who may also publish the model's image and name in magazine articles, on social media sites and on websites which are not controlled by the NHF.

68. Without a completed consent form for models under the age of 18, the entry cannot be accepted.

Our agreement

56. You must enter the NHF Photographic Stylist of the Year competition using the relevant entry form. Details of all our competitions can be found at here including entry fees for competitors.

57. Images submitted must be high resolution JPEG or TIFF (300dpi minimum) and maximum file size of 10MB. Thumbnails or low-resolution images will not be accepted.

58. There is no limit to the number of categories you can enter or the number of entries you can submit for each category.

59. Photographs or images entered into the competition must not have been previously published in any industry publication (print or online).

60. You cannot submit the same photo or photos from the same collection if you have entered any of them for the NHF Photographic competition in a previous year.

61. The names of individuals or salons must not be shown on the front of any photographs.

62. You must sign the entry form to confirm that the work submitted is your own. The NHF reserves the right to request entrants to recreate the work shown on the photograph or image submitted.

63. Entries received after the closing date will not be considered. Payment must be made at the time of entry.

64. Your entry will only be confirmed by us at the point we send you the relevant tickets and receipts, or we email you with confirmation of your competition entry.

Competition rules

69. The judges’ decision is final.

71. By entering the competition you agree to be bound by the competition rules.

Before & After

Before and After competition

73. By entering the NHF Before & After competition you have entered into an agreement with us, as set out in these terms and conditions. Please do not hesitate to contact us if you are unsure about the meaning of any of these terms.

Our agreement

74. Entry to the Before & After competition is free.

75. Upload your ‘Before & After’ picture to your own Instagram account, or that of the account of the business you work for, tagging@nhfederation and using the specified hashtag.

76. Entries must consist of a single collated image which includes one ‘before’ and one ‘after’ image.

77. You must ensure that neither of the images allow models to be identified (i.e. back of head shots only with no identifying facial features visible).

78. Judges will not consider entries with incorrect hashtags.

79. Entries will be taken from the 1st of the month and ending at 12 noon on the last Friday of the month.

80. The final entries will then be sent to three judges and the winner will be announced on the Instagram page 2 weeks later.

81. The winner will receive a Love2Shop gift card for the value of £50 which can be redeemed at over 20,000 high street stores and can be applied to a choice of over 150 top brands.

Competition rules

NHF Business Awards

NHF Business Awards

84. By entering for the NHF Business Awards you have entered into an agreement with us, as set out in these terms and conditions. Please do not hesitate to contact us if you are unsure about the meaning of any of these terms.

85. Entry to the NHF Business Awards is free. The Awards are open to NHF members and non-NHF members.

86. If your salon or barbershop has won any of the Business Awards categories 3 times, you are not eligible to enter the same category again. Your business and its success will be featured in our Gallery. We will let you know if any relevant PR opportunities come up.

87. Entries must be made by completing the entry form which can be downloaded from the NHF website. Entries and photos can be sent as hard copy through the post, by electronic files via WeTransfer, Dropbox or similar, or put onto a memory stick and posted to: NHF Business Awards, National Hairdressers Federation, One Abbey Court, Fraser Rd, Priory Business Park, Bedford MK44 3WH. We have no obligation to return to return photos to you.

88. Make sure you provide the evidence required for each category.

89. If you want to include photos, make sure they show the outside of the business, a clear view of the interior and a group shot of the salon team. Do not submit more than THREE photos. At this stage photos can be low resolution, but you must have high resolution versions (JPEGs or TIFFs 300dpi minimum) available if you are selected as a finalist. Photos must also be submitted electronically, using the same method as all other entry materials.

90. Any photos submitted may be published in SalonFocus magazine, other media (for example, trade press) and on the NHF website. You are responsible for ensuring that anyone shown in the photos consents to their image being used in this way.

91. Entry into the awards is deemed to be approval of and consent for photos to be used as set out in these terms and conditions.

92. Entry is open only to salons within the UK.

93. Members of the NHF board are not eligible to enter for the awards or to be judges (unless in their capacity as a sponsor).

94. We may occasionally have to cancel, change or merge awards categories. We will inform you as soon as possible if this is the case.

95. We will acknowledge receipt of all entries by email or telephone, so if you don’t receive an acknowledgement we haven’t received your entry.

96. If you are a finalist, you must attend the Awards dinner. Tickets, travel and accommodation will be at your own expense. You can’t be a winner if you’re not at the dinner!

Judging

97. You must stick to the word count allowed for each category as specified in our guidance which is available at nhf.info/events/competitions. Judges will disregard any text which is longer than the specified word count.

98. All information you provide is strictly confidential and will be seen only by NHF staff and judges, who will have signed a confidentiality agreement.

99. There will be up to 3 judges per category, drawn from a pool of NHF business trainers, coaches, subject experts and sponsors.

100. Judges will consider all entries and allocate scores using the judging criteria for each category as specified in our guidance which is available here

101. There will be up to five finalists in each category, those who achieve the highest scores.

102. Scores will be independently reviewed before arriving at the overall results.

103. There will be a ‘mystery shop’ for the finalists of the following categories:

  • Best independent hair or beauty salon
  • Best independent barbershop or male grooming business
  • Best business group (2 salons, a flagship location nominated by the entrant and one other selected at random by the NHF)
  • Best new business
  • Best client experience
  • Best front of house

104. When entering, please make sure you specify your preference for the mystery shop to be done on the hairdressing, beauty therapy, barbering or male grooming aspects of your business (choose one only).

105. No matter how good your entry looks on paper, the mystery shop is an independent assessment of a real client’s experience. The mystery shop report therefore counts towards the overall results.

106. Finalists in all of the mystery shop categories will be given a free copy of the mystery shopping report after the Awards event.

107. Winners of all categories will receive a trophy, a press pack and a certificate.

108. The judges’ decisions are final and no correspondence will be entered into.

Finalists

109. The date when finalists will be announced will be published in the NHF Business Awards entry form and online at nhf.info/events. A list of finalists will be published in salonfocus magazine, on the NHF website and promoted online.

110. If you are a finalist, you will be asked to provide a copy of the following:

  • your current insurance policy
  • your current health & safety policy
  • your current customer complaints policy

The NHF has a health and safety toolkit which includes a template health and safety policy, and a guide on handling complaints which includes a template complaints policy if you need any help.

111. Due to health and safety regulations, there will be a restriction on the number of people who can attend the Awards event so we do not exceed the capacity of the room specified in the contract between NHF and the event venue.

112. We strongly advise finalists to book their Awards tickets early to avoid disappointment as places at the Awards dinner will be filled on a first come first served basis.

113. Tickets and receipts for payment will be sent to the postal address you gave when booking your ticket, approximately 7 days in advance. If your booking was made only a few days before the event, information will be sent by email to the address you provided on the booking form.

114. Your booking will only be confirmed by us at the point we send you the tickets and receipts, or email you with confirmation that you have been allocated a place (as stated above).

115. You must inform us of any dietary requirements at least one week in advance of the event.

116. If you have any access requirements (for example, due to an injury or disability), please let us know when booking tickets so we can make sure the room will be suitable for you. We will not be liable for any delay or non-performance under these terms if you have not provided us with this information.

117. As a finalist or a winner, you agree to take part in all publicity organised by the NHF to celebrate your success and to promote the awards for future years.

Cancellation by you or 'no show' for NHF Business Awards Dinner

117. If you cancel your place at the awards dinner, or are a ‘no show’, we will not refund your ticket fee or entry fee. However, you may arrange for someone else to attend the awards dinner. Please be aware that there may be a higher price for non-NHF members.
